Re-Use of Medication in eMAR
The Department of Health & Social Care has released updated guidance on the re-use of medication in care homes and hospices in light of the COVID-19 pandemic. Details can be found here: https://www.gov.uk/government/publications/coronavirus-covid-19-reuse-of-medicines-in-a-care-home-or-hospice
This guide will show you how to set up and manage this in your eMAR system.
You must be using the new version of Manage Order and Medication Profile. This has not been released globally yet. If your home does not have this switched on as part of the beta release, please contact our Support team to have these switched on before implementing the re-use of medication in the eMAR system.
- Add a new, bed to your care home on the eMAR system:

If your home is billed based on the number of beds, please let our Accounts team know of any “dummy” beds when your invoice is issued so that these can be removed from the invoice.
- Admit a new, dummy client called “Stock For Re-Use” to the new bed created in step 1. https://support.mede-care.com/hc/en-us/articles/203816210-Admit-a-new-resident-
Select “Not Available, temporarily” in the “Unknown” section of the Health Card Information. Do not make up an NHS number.
In this example, Francesca Pascoe has passed away and you would like to re-use her stock of Simvastatin 20mg tablets.
- Stop the order on the stock to be re-used and manage the stock (in this example Francesca’s Simvastatin 20mg tablets):
- Navigate to the Medication Profile.
- Click “Manage”
- Click “Edit”
- Enter the “On-Hand” amount in to the “Carried to Next” box
- Stop the order, selecting a reason from the dropdown list (in this example “Resident Deceased”. Enter the date and time that you would like the order to end.
- Click “Save All Fields”
- On the “Confirm Edit” screen, enter the reasons why you have made the changes to create a full audit trail.
- A witness will be required to enter their username and password
- Click “Confirm”
- Add the stock to be re-used on to the dummy resident created in step 2:
4A. If the dummy resident does not already have this medication on their Medication Profile:
Complete an Add To MAR with the following details:
- The “Frequency” will be “PRN”
- The “Dose Amount” will be zero
- Leave the “Duration” as zero
- The “Total Dispensed Amount” will be the amount you placed on the “Carried to Next” box in step 3.
- You do not need to enter a “Route of Administration” so can leave this blank
- Leave the “Administration Start Date & Time” as the default
- In the “Directions” type “Stock for re-use”
- The “Pharmacy Source” will be “Care Home Local Stock”
- Receive this medication into the system from Receive Orders:
4B. If the dummy resident already has some of the same medication on their Medication Profile, add the stock to be re-used on through Manage Order:
- Navigate to the “Stock For Re-Use” Medication Profile.
- Click “Manage”
- Click “Edit”
- Enter the amount from the “Carried to Next” box in step 3 in to the “Brought From Prior” box
- Click “Save All Fields”
- Select the reason “Brought forward stock from another order”
- Enter a note to say who the stock was carried forward from
- A witness will be required to enter their username and password
- Click “Confirm”
- The stock can now stay on the “Stock For Re-Use” Medication Profile until you are ready to assign it to another resident.
In this example we will re-allocate that stock to Gwen Watson
- To assign the stock to be re-used to another resident:
- Navigate to the “Stock For Re-Use” Medication Profile.
- Click “Manage”
- Click “Edit”
- Enter the amount you would like to re-use in the “Carried to Next” box
- Click “Save All Fields”
- Select “Carried forward stock to another order” from the dropdown list
- In the “Note” box type in who the stock will be re-used for (in this example Gwendoline Watson”
- Click “Confirm”
- Add the medication on to the “new” resident:
7A. If the resident does not already have this medication on their Medication Profile:
- Complete an Add To MAR, following the prescriber’s instructions.
- The “Total Dispensed Amount” will be the amount you placed on the “Carried to Next” box in step 6.
7B. If the resident already has that medication on their Medication Profile
- Increase the on-hand amount using “Manage Order” as in step 4B above.
- Ensure that you enter a note to say you have re-allocated the stock to maintain a full audit trail.
